Administrative Officer

Laboremus Uganda creates financial technology solutions for clients in East Africa and Europe. We help large banks, financial institutions, and start-up banks get digital. Laboremus Uganda is part of the Laboremus Group which was founded in Norway in 1996. Today, the group has offices in Norway, Serbia and Uganda.

What you would do

As an Administrative Officer, your workday is filled with a multitude of tasks. Concretely, your responsibilities include:

Accounting:

  • To handle office petty cash. This includes: preparing and planning for weekly office petty cash needs and reconciling petty cash accountability with receipts monthly.
  • To prepare accountability for cash and bank transactions monthly.
  • To run errands to the bank, make payments for relevant suppliers or statutory bodies as required.

Procurement:

  • To source for providers for company purchases, including negotiating both price and quality (as advised by technical person) to provide value for money for the company.
  • To organise and plan for company events and retreats. Ensure all necessary logistics are available for such events.

Administration:

  • Prepare and review travel accounts for staff
  • Book air tickets and organise airport transfers, accommodation for employees or visitors from abroad.
  • Be responsible for the front desk i.e. Receive visitors and parcels and provide necessary information to visitors.
  • Assist in the visa application and work permit process for employees working short-term at our offices in Norway and Uganda. Inform and help participants gather necessary documents in a timely manner.
  • Handle the process of refunds for visa refundable fees.
  • Ensure insurance for staff, as well as other benefits (i.e. distribute monthly airtime allowance).
  • Prepare identification, business cards for new staff.

You will do all of this in close cooperation with the rest of the administrative team.
